The basics
Who we are
The company. Guild Floors is the trading name of Guild Floors Limited, registered in England and Wales, company number 11891390, formerly JG Floors Limited. Our registered office is 1 Tower House, Tower Centre, Hoddesdon, Hertfordshire EN11 8UR. We supply and fit flooring for homes and commercial buildings across Hertfordshire, Essex, London and the South East.
We are the data controller. That means we decide what is collected and why, and we are the ones answerable for it.
How to reach us about your information. Email info@guildfloors.co.uk or ring 01279 942302 and say it is about your data. There is no separate department. It reaches the same people you would speak to about a floor.
What this covers. This page covers the guildfloors.co.uk website and everything we do as a business: enquiries, surveys, jobs, Guild Care memberships and the records we keep afterwards.
The detail
What we collect and when
When you fill in the enquiry form. Your name, email address, phone number and postcode, the type of project and type of floor you pick, and whatever you write in the message box. The form also records which website you arrived from, the first page you landed on, and your answer to how you heard about us if you give one. That last part is so we know which of the things we do actually brings people in. None of it is used to build a profile of you.
When you phone, WhatsApp or email us. Whatever you tell us, and the number or address you contacted us from. We keep the thread so the next person you speak to already knows the job.
When we come and survey. The address, the measurements, notes on the subfloor and on access, and usually photographs of the rooms. Those photographs are a working record of what the floor looked like before we touched it, and they settle most questions that come up later. We will not use a photograph of your home in our marketing, on social media or on this website unless we ask you and you say yes. Commercial sites are different: those are usually cleared through the main contractor or the building owner.
When we do the work. The quotation, the job record, dates, what was fitted, what it cost, how you paid, and any warranty attached to it.
If you join Guild Care. Your email address and billing address, the plan you chose, and your visit history. Payment is taken through Stripe. Your card details go straight to Stripe and never reach us. We can see that a payment succeeded and the last four digits, and that is all.
On commercial jobs. We are usually engaged by a main contractor rather than by the building's owner. We hold the names, job titles and contact details of the people we deal with on site. In the other direction, we have to give the main contractor details about our own team before they will let us on site: CSCS cards, qualifications, method statements and insurance. That is a condition of working on a construction site, not something we choose.
When you use this website. Google Analytics records that a visit happened, which pages were read, roughly where in the country it came from and what kind of device it was on. It does not tell us who you are. The site also notes, in your browser's own memory and only until you close the tab, which website sent you here, so that if you then fill in the form we are not guessing. Neither of those is a marketing tracker, and we do not run advertising pixels on this site.
If you leave us a review. Our reviews are on Checkatrade. A review you write there is published on their platform under their rules, and they are responsible for it, not us. We read them and sometimes quote them, with the first name and town as Checkatrade shows them.
What we never do. We do not buy lists, we do not sell your details to anybody, and nothing on this site makes an automated decision about you.
Lawful basis
Why we are allowed to hold it
The law says we need a reason for each thing we do with your information, not just a general one. Ours are below.
| What we are doing | Why | The lawful basis |
|---|---|---|
| Answering your enquiry | So we can ring or email you back about the job you asked us about. | Legitimate interests. You contacted us and expect a reply. |
| Surveying and quoting | Measuring up, assessing the subfloor and pricing the work. | Steps taken at your request before a contract. |
| Doing the work | Ordering materials, booking fitting dates, invoicing, honouring a warranty. | Performance of our contract with you. |
| Guild Care memberships | Running the subscription, taking payment, booking your visits. | Performance of our contract with you. |
| Keeping business records | Accounts, VAT and tax records. | Legal obligation. |
| Understanding how the website is used | Which pages people read and where they arrived from. | Consent, through the cookie banner. |
| Sending you marketing | Occasional emails about what we do. | Consent. You can withdraw it at any time. |
On legitimate interests. We use that basis for one thing only, which is replying to an enquiry you sent us. Our interest is running a business that answers its enquiries, and we think that sits comfortably with what you expected when you pressed send. If you disagree, tell us and we will stop.
Third parties
Who else sees it
The people who do the work. The fitters and subcontractors on your job get your address, your phone number and what they need to know to fit the floor. They are told not to use it for anything else.
Main contractors and building owners. On a commercial job, the information about the work goes back to whoever engaged us, because that is the job.
Suppliers. Where a floor is delivered direct or ordered specially, the supplier gets the delivery address.
The software we run on. Netlify hosts this website and receives what you type into the form. Pipedrive is where an enquiry becomes a record we can work from. Stripe takes Guild Care payments. Google provides the website statistics. Each of them holds the data on our instructions and cannot use it for their own purposes.
Our accountant, and HMRC. Invoices and payment records, as any business has to.
Anyone the law obliges us to tell. Rare, but if we are legally required to hand something over, we will.
Information leaving the UK. Some of those companies are based in the United States or store data outside the UK. Where that happens the transfer is covered by the safeguards UK data protection law requires, either an adequacy decision for that country or the standard contract terms the law provides for.
Retention
How long we keep it
Keeping everything forever is not allowed and is not useful. These are the periods we work to.
| What | How long |
|---|---|
| An enquiry that never became a job | 12 months from your last contact with us |
| Surveys and quotations | 6 years, which is how long a claim about the work could be brought |
| Job records and invoices | 6 years after the end of the financial year they fall in, because HMRC requires it |
| Warranty records | The length of the warranty, then 6 years |
| Guild Care membership records | The length of the membership, then 6 years |
| Marketing list | Until you unsubscribe |
| Website analytics | Held by Google for the period set on our account, and never tied to your name |
Why six years keeps appearing. It is the period HMRC requires business records to be kept for, and it is also roughly how long somebody has to bring a claim about work we did. Deleting a job record earlier would leave us unable to answer a question about our own floor.
Survey photographs. These are kept with the job record and go when it does.
Your rights
What you can ask us to do
You have the following rights over information we hold about you. Using any of them is free, and we will answer within one month.
Ask for a copy. We will send you everything we hold about you.
Ask us to correct it. If a detail is wrong, tell us and we will fix it.
Ask us to delete it. We will, unless we need it for a job in progress or a record the law says we must keep. If we cannot delete something we will tell you which part and why.
Ask us to stop using it while something is in dispute. We will hold it and do nothing with it until the dispute is settled.
Object to how we are using it. Particularly where we rely on legitimate interests, which for us means replying to your enquiry.
Ask for it in a portable form. Where we hold it because of a contract with you, we will provide it in a format you can take elsewhere.
Withdraw consent. Where consent is what allows us to do something, marketing emails being the obvious one, you can take it back at any time and it is no harder than saying so. Every marketing email also has an unsubscribe link.
How to ask. Email info@guildfloors.co.uk, or ring us. We may ask you to confirm who you are first, which is to stop somebody else asking for your details.
Cookies
What this website puts on your device
The ones we cannot avoid. A small number of cookies are needed for the site to work at all, including keeping a form submission from being posted twice and spam-checking the contact form. These are set whatever you choose, because without them the site does not function.
Analytics. Google Analytics sets cookies that let us count visits and see which pages get read. We ask before setting them, and if you say no they are not set. You can change your answer at any time.
The attribution note. When you arrive we record which website sent you, in your browser's own session memory rather than a cookie. It holds no name, no email and nothing about you, and it is wiped the moment you close the tab.
Advertising. None. There are no advertising or social media tracking pixels on this site.
Turning them off in your browser. Every browser lets you block or delete cookies in its settings. Blocking everything will not break this site.
If something is wrong
Complaints
Come to us first. Email info@guildfloors.co.uk or ring 01279 942302. We would far rather sort it out directly, and usually can.
Then the Information Commissioner. You have the right to complain to the UK's data protection regulator whether or not you come to us first. The ICO is at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this page. If we change how we handle information we will update this page and change the date below. Where a change is significant we will say so rather than quietly edit it.
